Require team approval
Hold member submissions for an owner or administrator to review.
Team Approvals is a workspace setting for member submissions. Owners and administrators may have different publication permissions, so it should not be treated as a universal hold on every action by every role.
Enable and test the gate
-
As an owner or administrator, open Workspace Settings → Team Approvals.
-
Enable Require member approval before publish and save.
-
Have a member prepare a small test submission with the intended schedule.
-
Verify that its state is Pending approval in the queue and Calendar.
-
Review the exact content, media, account and scheduled time before approving.
Review and return work
Open the pending post's detail panel. Use the discussion to ask questions when needed. Choose Approve to release the allowed publishing workflow, or Reject / Return to draft and provide a useful reason. For a rejected item, edit the draft and submit the intended version again. Recheck dates that may have passed while the item was waiting; do not assume approval will preserve a sensible future time.
Track decisions
Use the approval timeline and Activity Log to see who submitted, commented and decided. Discussion is informal feedback; a resolved comment is not necessarily a formal approval. If using client review too, confirm both stages in the post's status. Inspect successful completion after publication as a separate step.
Return, edit and resubmit
Current rejected posts return to their author as editable drafts, with a reason when one was supplied. They do not publish until resubmitted and approved. Update a time that passed during review. Older rejected posts from before October 2026 may remain cancelled and need duplication instead of resubmission.
Open the approval detail to inspect the full caption, attachments, destination and discussion. Owner and administrator submissions may bypass a member-only gate. If the setting is unavailable, check the actual role and workspace entitlement with the owner.
Check saved mentions before final approval
Saved mentions and aliases can be filled at publication time. Changing a saved mention can therefore affect already approved scheduled posts without a fresh review. If a tag must remain fixed, enter its final intended text in the caption and inspect the preview.
